You have been added to a custom WhatsApp group for shift alerts, updates, and direct communication.
- We send important messages — including updates, changes, and confirmed shifts — either as a broadcast or in your assigned WhatsApp group.
- Even if you don’t reply, the information remains binding. Acknowledging simply lets us know you’ve received and read it.
- Save all Cymatex contact numbers to avoid missing important updates.
- Most updates are shared via WhatsApp — always respond in your assigned group when required.

- This is an example of Queries we receive
- Oaks facility let us know that Clinician did not report to the building for her shift, she instead called in asking if she was on the schedule. The facility called her at 2:05PM EST to find out if she would be reporting. in response she then stated she was no longer available. This is incredibly disappointing. This shift has been cancelled as a late agency cancellation.
- Please remind your staff that they are to report for all scheduled shifts. They should not be calling the facility to confirm whether they should be coming in or not. If you have any questions on this, please let me know.

This helps us plan shifts effectively.
✅ Call-Out & Cancellation Notice
• You must call Cymatex directly for any shift cancellation or lateness — even if you already informed the facility.
• Call-outs require at least 2.6 hours' notice.
• Late cancellations will incur a 2.6-hour charge.
Facility Late Cancellations:
• Facilities typically notify us 1.5 to 2 hours in advance.
• If canceled with less than 2 hours’ notice, you will receive 2 hours of compensation.
🕖 Same-Day Shift Protocol
• WhatsApp AND call 240-755-3544 until someone answers.
• For 7:00 AM shifts, notify us by 9:30 PM the night before.
• Notice after 10:00 PM is considered late.
• Always check your messages early in the morning and at night for updates.
• If your shift is canceled before 5:00 AM, you’ll be notified via phone or WhatsApp.
⚠ Facility Cancellation Without Notice
• Do not leave the facility if told you are not on schedule.
• Call the Cymatex office immediately and continue calling until you reach someone.
• Also send a message to your assigned WhatsApp group.
• Cymatex will coordinate with the facility to request inconvenience compensation on your behalf.
💵 Compensation Conditions – When You Will NOT Be Paid
• You left the facility without office confirmation.
• You didn’t go to the facility — even if someone told you not to.
• You arrived late and were canceled.
• An alternative shift was arranged and offered same-day.
• You were sent home early — only hours worked will be paid.
• You failed to clock in/out at the kiosk.
📍 On-Site Conduct & Compliance
⏰ Lateness:
- Clinicians are expected to arrive on time for all scheduled shifts.
- Late arrival is defined as more than 5 minutes past the scheduled time.
- Arrival 15+ minutes late may result in disciplinary action (e.g., warning, cancellation, suspension).
- Arrival 20+ minutes late is considered No Call/No Show and may lead to termination.
- Repeated lateness may affect shift assignments and facility trust.
🚫 DNR (Do Not Return) Status:
- Frequent lateness or call-outs may result in being placed on DNR status at a facility.
🛠️ Workplace Issues:
- Report issues (e.g., computer not working) to both the facility supervisor and Cymatex immediately.
✅ Assignment Completion:
- Facilities may request your return if tasks (e.g., charting) were left incomplete.
📚 Training Requirements:
- Additional training may be required by the facility. Cymatex will notify you in advance.
🕒 Timesheet & Payroll Information
- ✅ Work Week: Saturday to Friday
- ✅ Timesheet Submission: Every Saturday by 12:30 PM
- ⚠️ Late Submission or Errors: Corrections will be made in the next pay cycle
- ✅ Arrival Time: Always report your actual clock-in time (e.g., 7:18 AM, not 7:00 AM)
- 🕒 Shift Reminder: Each shift includes a 30-minute break (e.g., 7 AM – 3 PM = 7.5 hours worked)
- 💵 Pay Day: Every Monday between 1:00 PM – 3:00 PM
- 🏦 Preferred Payment Method: Direct Deposit (Download Payroll Form)
- 💸 Optional Method: Zelle
- ⚠️ Bank Info Changes: May take up to 2 pay cycles to reflect
